POS repair software
For shops that repair cash registers, POS terminals, receipt printers, barcode scanners and retail scales: rush jobs and due dates everyone can see, print heads and cutters in stock, loaner units on record, and retail and restaurant customers with balances and completion reports.

ServiceCenterSoft is job-tracking software for shops that repair point-of-sale hardware: cash registers, POS terminals and all-in-one touch systems, thermal receipt printers, barcode scanners and retail scales. Rush jobs and due dates the whole bench can see, print heads and cutters with reorder levels, and business customers with several locations kept as one account. It runs in the browser — on the bench PC and on your phone when you are on site at a store.
Who it is for
Your customers are businesses, and for them a broken POS is not an inconvenience — it is a queue at the counter and sales walking out the door. The coffee shop whose receipt printer started feeding blank paper at 7 a.m. The corner store with a scanner that misses every third label. The small chain that sends you scales, receipt printers and touch terminals in rotation. The market stall with a cash register that will not power up after a storm.
Where it usually goes wrong:
- “back by lunchtime” was promised on the phone, never written on the job, and remembered after the third call;
- you lent a spare receipt printer, and a month later nobody knows which café still has it;
- the print heads for your most common model ran out, and three rush jobs wait a week;
- a chain asks what it owes for the quarter, and adding it up takes an afternoon;
- at pickup: “there was a power brick”, “we left the cable”, “you have the cash drawer key”;
- the same scanner is back for the third time, and nobody can tell what was done before.
Check-in: the unit, the store and everything that came with it
Model and serial number are separate fields, and both are searchable from the job list. When a chain drops off four identical receipt printers, each one is found by its serial, and a repeat repair turns up in seconds. Customers have a “Company” field, so a store or café is one customer, whoever brings the unit in.
Write the fault the way the customer puts it: “prints faint on the left side”, “cutter doesn’t cut all the way”, “scanner won’t read codes from a phone screen”, “scale drifts by 20 grams”, “terminal reboots when the drawer opens”. It tells the tech where to start, and advanced search in “text” mode finds it a year later.
The accessories field is filled in with the customer present and printed on the job sheet they sign: “power supply, USB cable, paper roll — no drawer key”. The condition field covers cracked housings, worn keys, coffee and sugar inside the printer, scratches on the scanner window.
The software does not touch the fiscal side of a register: registration and anything involving fiscal data is handled by an authorised provider under the rules of your country. Card payment terminals often belong to the bank or payment provider and are serviced under their contract — ask the customer whose terminal it is.

No register, no sales
Every job can be flagged “Urgent”, and the tile above the list shows how many urgent jobs there are right now. Every job has a promised date: once it passes, the row turns red and the “overdue” filter gathers those jobs in one list. “Where’s our register?” is answered by the job list, not by memory.
Statuses are a list you control. Add your own with their own colour — “Test print run” for a printer that prints a hundred receipts before it goes back, or “Waiting for scale verification”.

Loaner units: how to keep track
To be straight about it: there is no separate loaner pool in the software. You can still record what went out. Put the loaner and its serial number in “Notes for the technician” — the customer does not see that field, and a text search for the loaner’s serial finds the job it went out with. If you want the customer’s signature, add a line to the accessories field: “loaner receipt printer, s/n …, to be returned at pickup”. It prints on the job sheet.
Print heads, cutters and power supplies in stock
A POS repair bench uses the same parts over and over: thermal print heads, auto-cutter blades and motors, platen rollers, power supplies, paper sensors, interface boards, scan engines and windows, load cells, register keyboards. Stock is a movement log: goods in with cost price and supplier, used on a job as an estimate line, returned, adjusted at stock-take. A part picked from stock on an estimate reduces the balance automatically, and its cost shows in the reports.
Each item can have a minimum level, and the “running low” tile tells you to reorder before rush jobs pile up. A part for an unusual model is ordered from the job: the request is emailed to the supplier, and the job sits in “waiting for parts”. More on spare parts tracking.

Repair or replace? Let the customer decide on paper
A store owner watches costs: a budget receipt printer is sometimes cheaper to replace than to fit with a new head and cutter. So diagnose, log what you found, and build the estimate line by line from your labour list or from stock. A button on the job sends it by email or Telegram; the customer sees each line and the total and presses “I agree” or “I decline”. The answer and the date go into the job history.
If they decline, “repair refused” closes the job; if the unit cannot be saved, “beyond repair”. If you charge for diagnosis, set a diagnostics price for the device type and it sits on the job from day one.

Chains, cafés and stores
The customer record shows every job for the company, the total and the balance owed across unpaid jobs — answering “what do we owe you?” takes a minute. Four identical scanners? Fill in the first job completely, copy it for the rest and type in each serial number.
A job can take several payments: a deposit for the print head at drop-off, the rest at pickup or by bank transfer later. The software shows what is still owed, and the “unpaid” filter gathers jobs handed over but not paid. A unit back after your repair gets the “Repeat repair” type, and its serial brings up the earlier job. “Recommendations for the customer” is for advice — “keep the printer away from the espresso machine”, “use paper with the right coating side” — and prints on the completion report with the estimate lines, the work log and the amount due. More on the completion report.
Ready — tell them straight away
When the job is done the customer gets an email or a Telegram message (they subscribe with a QR code on the job sheet). Every finished unit shows how many days it has been waiting, and once the free storage period from your settings runs out, the counter turns red. More on customer notifications.
In many countries a scale used for trade has to be verified after repair. Who may do that, and how, depends on local rules — check before you promise the customer anything.
If you also fix office printers and MFPs or refill toner, there is a separate page on printer repair software.
What repairs typically cost
As a rough guide only — prices vary with region, model and parts: diagnosis €25–60, receipt printer cleaning and service €30–70, print head replacement €40–80 labour plus the part, cutter repair or replacement €50–130, power supply repair €40–110, barcode scanner repair €40–130, scale repair with a new load cell €80–220, cash register repair (keyboard, board, power) €60–220, POS touch screen replacement €150 to €450 including the part. You set your own prices: per device type and as estimate lines.
What it does not do
- a loaner pool as its own section — only notes and the accessories line described above;
- fiscal functions or links to fiscal providers;
- photos or file attachments on jobs — keep check-in pictures on your own drive;
- SMS, a mobile app, online payment by the customer;
- supplier integrations or barcodes in the software itself;
- invoices and contracts for companies, or one combined report for the month.
What it costs
One price for the whole shop — no extra charge for staff or branches.
Monthly
Paid every month, cancel whenever you like.
Yearly
Cheaper than paying monthly. Invoice or card payment.
Custom work
Changes tailored to the way you work — hourly, by agreement.
Off-the-shelf not enough — your own forms, roles, reports or workflow? We will build a program for you. How it works
Try it without signing up in the demo: check in a receipt printer with its power supply, mark it urgent, set a due date and send the estimate to the customer.

We are very happy working with servicecentersoft.com: they built everything we asked for, even though our request was unusual, since we deal with medical devices. Everything was done precisely and on the agreed schedule. Thank you for the cooperation — we keep working together.

I tried the ServiceCenterSoft demo and came away with a good impression. The program is simple and easy to understand, yet it has everything you need for the job: customers, repairs, devices, spare parts, statuses and statistics.
I especially liked the dark theme and the responsive design — working from a phone is perfectly comfortable. Another plus is the instant search that works as you type, so you don't have to press a separate "Search" button every time.
You can tell the program was built specifically for service centers rather than being a generic CRM adapted for the repair business. The interface has no unnecessary frills; everything is logical and to the point.
A good, practical tool for the day-to-day work of a service center.

I liked that you get a free 14-day trial and that they are willing to handle my special requests — setting things up exactly the way I need them.
I also liked how payment works. You can simply pay the monthly fee by card online — basically the same as a regular Spotify subscription or any other service. No separate contracts to sign and no invoices to pay manually.
And there's no feeling of strict limits on the number of employees. One service center is one account, and inside it you can organize the work of your technicians and run several branches.
For me this is far more convenient than plans where you have to pay for every single user or keep counting how many employees are working today.

My business is fairly specific, so the program's standard features weren't enough — I needed my own custom fields, my own sorting options and search by additional parameters. The work completion certificate and the printed repair receipt also needed some changes to fit the way we work.
I contacted technical support. To be honest, I expected changes like these to take a long time, but everything was done within a single day. The team quickly understood exactly what we needed, suggested the right solution and did everything properly.
I'd especially like to mention the support: they get straight to the point, with no unnecessary bureaucracy, and they genuinely help instead of just sending you off to read the documentation.
For me this is a big advantage of the program: it isn't just sold "as is" — it can be adapted to how you actually work. Thanks to the team for the quick response and for treating the customer right.
Highly recommended!
