Working on a repair

Everything that happens to a device after intake is done in one place — the job card. Open it from the list by clicking the number, or from the "Job No." field in the header.

Status

The status is the short answer to "where is this repair now". The set of statuses is yours: rename, add your own and colour them in the statuses list. Next to the status list on the card is a "Comment" field: what you type there goes into the history together with the status change.

Dates fill themselves in. A "ready" status sets the repair completion date; a closing status also sets the handover date. Back into work — both are cleared. A finished device not yet collected shows "stored N days", in red after the free storage period.

Repair estimate

The price is built from lines: what was done, quantity, price, amount. The first line is the base — from the device price list, "diagnostics only" or your own price, as chosen at intake. Then come work and part lines:

  • a work line is picked from the "Works" list — name and price are filled in, the price can be adjusted;
  • a part is picked "from stock" — the selling price is filled in and the stock goes down (Parts and orders);
  • each line can have its own technician — that is what a technician's earnings are calculated from.

Lines are edited and reordered right in the table, and every change to a line is recorded in the history. The estimate prints on the completion certificate.

Payments

There can be several payments: a deposit at intake, the balance at handover. Each has an amount, a date and a payment type from the list. The card shows "received" and "balance due"; once received is at least the estimate total, the job becomes paid and the "unpaid" quick filter no longer shows it. A mistaken payment can be deleted.

Customer approval of the estimate

Under the estimate is "Send for approval". The customer gets an email and/or a Telegram message (whatever they have) with the lines, the total and a link. The link opens a page without any login where the customer presses "I agree" or "I decline" and can leave a comment.

The card shows the state: "waiting for the customer", "customer approved" or "customer declined" — with the date, amount and comment — and the history records it. The customer approves exactly what was sent: if the estimate changes later, the card warns you and it can be sent again. The job's status does not change by itself on the answer.

Work log and comments

The work log is the course of the repair in your own words: "opened up, corrosion on the board, cable ordered". Each entry is a separate line with date and author. Comments are internal notes within the workshop: "customer asked not to touch the sticker". Comments are not printed and not shown to the customer.

Ready notice

A button on the card tells the customer the device is ready: by email, and in Telegram if the customer subscribed via the QR code on the job sheet. It goes out in your workshop's document language, not the language of your interface. It can be resent, but no more than once a day.

Parts order

If a part is needed, the order is created right from the card and stays tied to this job; when the part comes, "Arrived" receives it into stock. More in Parts and orders.

Change history

At the bottom of the card you see who changed the status (with its comment), the price, estimate lines, payments, the technician, dates and approval, and when. It records readable values: "Ready", not "6".

Handover

Before handing over, print the completion certificate with the estimate, record the balance payment and set a closing status.
